AI clinic receptionist: define and test its boundaries

An AI receptionist at a clinic can announce opening hours, explain an approved administrative process and pass along a callback request. Write its scope before connecting the telephone line. Management, reception staff and the relevant privacy and clinical leads should be able to state which requests the agent handles, which information it uses and when a person takes over.

Write the approved administrative answers

Start with the call reasons reception already knows. For each one, identify an approved answer and its source: official hours, location, appointment procedures or validated administrative instructions. Do not add medical explanations to make the conversation sound smoother. A question about symptoms leaves the administrative process and follows the clinic’s approved instructions.
Give every answer an owner. When appointment procedures change, that person approves the wording and retires the previous version. A controlled knowledge base can organize those versions. The agreement should explain how a correction reaches the agent and how the clinic checks that the previous answer no longer appears.
The specification for a telephone voice agent should also describe its permitted actions. Offering a time, requesting a callback and confirming an appointment are different operations. Confirmation requires evidence from the authorized system. A reassuring sentence produced by the agent cannot establish that a booking exists.

Identify the applicable information rules

In Quebec, the assessment of a clinic extends beyond the label “Law 25.” The CAI describes a framework for health and social services bodies and stakeholders, including the LRSSS, which came into force on July 1, 2024. Have the relevant leads establish which rules apply to the activities, information and service providers involved.
The CAI also explains that necessity comes before consent. Under the planning approach proposed here, the team justifies each requested field before writing a notice or consent. A tool’s ability to transcribe an entire call does not establish that retaining the entire call is necessary for an administrative handoff.
Map the information route through telephony, any transcription, the model, storage, scheduling and supplier support. Ask where people can access information, including technical support personnel. Canadian hosting alone does not establish compliance. Assess disclosures or service arrangements outside Quebec under the applicable framework and the agreements it requires.

Prepare difficult call scenarios

SituationExpected outcome and evidence for approval
LanguageA call starts in French and switches to English.Approved answers retain their meaning; record the actual wording.
Third partyA relative requests information from a record.Use the authorized method before disclosure; record the response and access used.
Clinical requestA medical question interrupts booking.Leave the administrative path under clinic-approved instructions; no improvised recommendation.
Unanswered transferThe human extension does not answer. The message and follow-up match clinic rules, with an identifiable owner.
Acceptance work should include conversations that interrupt the planned sequence. Repeat the same intentions in French and English using natural phrasing. Vary names, speaking speed, background noise and hesitation in fictional calls. A single slowly read sentence provides little evidence about the handling of accents.
For each call, record its starting situation, expected response and the decision that must stop automation. Clinical staff approve transfer instructions and appropriate messages. This proposed worksheet provides no medical protocol and does not ask the agent to assess an emergency. Those boundaries should also appear in the supplier’s demonstration and acceptance documentation.
Suggested scenarios include a caller switching languages, someone calling on behalf of another person, a misunderstood name and a request for information from a record. Add an unexpected clinical question, an interrupted transfer and an unanswered human extension. State what must remain confidential and which administrative next step is allowed in each situation.
The evaluator records what the agent actually said and did, along with the time and configuration. Wording that works in French can become ambiguous when translated. Ask someone able to assess administrative meaning to review the English messages, then repeat the scenarios affected by each wording change. Keep the approved version with the observations.

Fictional example: a callback still awaiting action

Consider a fictional clinic where a person calls to move an appointment and spontaneously mentions a health concern. The agent does not convert those words into a recommendation. It follows the approved instruction for leaving the administrative process, then attempts the designated transfer. This example does not describe an actual test or client result.
If nobody answers, the next step depends on the clinic’s rules. The design record should specify the approved message and the information reception will receive. A callback task should not appear as a rescheduled appointment. The caller needs to understand the actual status of the request before the call ends.
To validate that process, create a wholly fictional record and inspect the task delivered to reception: identity established through the approved method, necessary contact information, administrative purpose and status. If the integration fails, the outstanding request needs to remain visible to its designated owner. Administrative follow-up automation therefore needs a recovery mechanism and someone watching exceptions.

Decide using evidence reception can use

The clinic sets acceptance criteria before conducting its tests. Disclosure to an unauthorized third party or a clinical answer outside scope requires correction and repetition of the affected scenarios. For recognition errors, document the consequence: asking for repetition, selecting the wrong record or performing an incorrect administrative action. Those consequences have different severity.
Collect message versions, test accounts, scenarios and observations in a record available to the responsible people. Set a retention period that reflects its purpose and applicable requirements. Quality review evidence can itself contain information about individuals; favour fictional data. Also determine who may send evidence to a supplier when investigating a problem.
Begin with a limited administrative scope and staff available for exceptions. When the supplier, model, hours or integration changes, repeat the relevant calls. Management should be able to suspend an automated action and identify who will handle requests already underway. Check that recovery arrangement before extending the service to a larger share of calls.

FAQ

Can the agent provide medical advice?+
The scope proposed here is administrative. Clinical requests follow instructions validated by the clinic and relevant professionals; this article establishes no medical protocol.
Must every call be recorded?+
Justify audio, transcripts and logs separately. Define their purposes, access rights and retention with the appropriate leads before choosing a configuration.
Does Canadian hosting guarantee compliance?+
You also need to assess applicable rules, access, subcontractors and disclosures. The location of storage does not settle those questions on its own.
What happens if a transfer fails?+
Agree on an approved message and administrative next step with the clinic, assign an owner and keep follow-up visible. Test the situation without inventing medical instructions.
How should bilingual operation be validated?+
Repeat equivalent intentions in both languages, including interruptions and ambiguity, then have the relevant owners approve the wording and outcomes.
